Data Import

Import records from a .csv or .xlsx file — and No Duplicates checks them for duplicates before anything is saved. You can import only the new records, update the ones that already exist, or merge duplicates, all from one screen.

Opening Data Import

Open the No Duplicates app and go to the Data Import tab.

Good to know
  • You need at least one matching rule for the object you're importing — that's how duplicates are found. If there's none yet, create one first.
  • On sandboxes and with an active subscription there's no row limit. Without a license you can import up to 10 rows at a time.

How it works

Data Import walks you through five short steps.

1. Upload — Pick your .csv or .xlsx file. No Duplicates reads the headers and figures out the object automatically (you can change it if needed).

2. Map columns — Your columns are matched to Salesforce fields for you. Just check the result and fix anything that didn't match.

3. Settings — Choose the date format and, if you're updating existing records, how they should be updated. For Leads and Contacts you can also add the imported records to a campaign.

4. Matching rules — Pick which rules to use when looking for duplicates.

5. Results — Every row is checked against your Salesforce records and against the other rows in the file, and gets a simple label:

  • Unique — no match found, ready to import.
  • Salesforce Duplicate — already exists in Salesforce.
  • File Duplicate — repeated inside your file.
  • Error — something in the row couldn't be read (like a bad date).

What you can do with the results

  • Import the unique records as new ones.
  • Update the records that already exist.
  • Merge a group of duplicates into one.
  • Download the results as a .csv to review later.

Pick an action and No Duplicates does the rest, showing progress as it goes.
